Transferring children from IT to PS through Import/Sync

Learning Genie offers you a new option to keep children’s original rating period after transferring them from IT to PS class through the “Import/Sync” feature. Here’s how:

1. Go to “Admin Settings” > “Import/Sync”, and click the “View Import Alerts” button on the import history page.

2. Click the "Rating Period Confirmation" button to confirm each child’s rating period in the new class.

Scenario 1. You haven't completed a child's observation and rating progress

A new option is available if you haven't completed a child's observation and rating progress and want to transfer a child from an IT class to a PS class. 

• Generate New First Rating Period: The system will generate a new first rating period for this child. The previous notes will not be carried over. Moreover, the child will be treated as a new enrollee with the transfer date as the new “Starting Date”. 
• Keep Original Rating Period: Teachers in PS class can inherit the previous notes and continue the observation and rating.

Scenario 2. Complete Observation Progress, Incomplete Rating Progress 

If a child’s observation progress is complete, but the rating progress is incomplete. You can transfer the child to the PS class or complete the rating progress before the update.

• Transfer child to new class: Please confirm child's rating period after transfer.

• Rate and lock child before transfer: You will be directed to the "Rate All" page. Then, please switch back to the import alerts page and confirm child’s rating period in the new class once again. 

Scenario 3. Complete Observation Progress and Rating Progress 

The child can be transferred to the PS class directly with the transfer date as the entry date if he/she has been locked. If the child hasn't been locked, you need to confirm whether you want to transfer directly or wait until after the IT ratings are locked.

• Transfer the child to the new class: Please confirm the child's rating period after the transfer.

• Lock the IT ratings: You will be redirected to the “Pre-locking Check” page. Then the child can be transferred to the PS class upon successful lock and confirmation.
