When uploading assessment data from Learning Genie to DRDP Online, you may encounter an error indicating that the completion date falls outside the rating period. This guide will help you understand and resolve this issue.
What Causes This Error?
This error occurs when there's a mismatch between your Learning Genie assessment completion dates and the allowed rating period in DRDP Online. For example, if DRDP Online's rating period is set for Fall 2023 (August 1 - November 15), but your Learning Genie assessment completion is dated November 20, you'll receive this error because the date falls outside the acceptable timeframe in DRDP Online.
Common Reasons for This Error:
- Assessment was completed after the rating period ended
- Incorrect date was entered when finalizing the assessment
- DRDP Online rating period wasn't properly synchronized with your assessment schedule
How to Resolve This Issue
For Teachers:
- Review your assessment completion dates in Learning Genie
- Contact your administrator to verify the correct rating period
- If needed, request your administrator to update the completion dates
For Administrators:
1. Go to "Admin Settings" > "Agency Management" > "Manage Children"
2. Locate the specific child, hover over their name and click on the pencil icon.
3. Scroll down to the child’s Basic Information page. Under the Child's Rating Period section, review and update the completion date if necessary.
4. Verify the completion date is within the DRDP Online rating period:
If the completion date falls outside the designated rating period for the season you are trying to upload, then you will need to check and adjust according to its rating period in DRDP Online.
(i.e., if the completion date that’s not going through is for Fall, then you’d need to refer to the date range set for Fall in DRDP Online).
Prevention Tips
- Always verify DRDP Online rating periods before beginning assessments
- Complete assessments well within the rating period
- Double-check completion dates before finalizing (locking) assessments
