Batch locking streamlines the process of finalizing children's assessments by allowing you to lock multiple children's assessment records at once, eliminating the need to lock each child's record individually. This efficient approach ensures assessments are ready to sync with DRDP Online.
This guide will walk you through how to batch lock children using the Assessment Progress dashboard.
- Log in to your admin account and go to:
Data Hub > Assessment Progress - Click the "Batch lock child" button.
- Confirm the:
- Rating period
- Framework
- Sites and classrooms
- Click the “Pre-Locking Check” button to review any issues before locking.
Note: If you select a site/classroom that hasn’t been synced, children there can still be locked—but their data will not be uploaded to DRDP Online.
Pre-Locking Check Scenarios
Depending on the children’s data, you may see different messages. Here's what each one means and how to proceed:
Scenario 1
- A. Some children are missing attributes/ratings.
- B. OR have complete ratings but don't meet DRDP’s domain score rules
What to do:
- Click the “Download the checking file” button to view detailed information.
Solutions:
- Option A: Complete missing ratings/attributes for due assessments.
You may skip students who are still being assessed. - Option B: Modify ratings to meet DRDP report domain score rules or proceed anyway.
Then choose:
- Lock all – Includes children who don’t meet domain score rules
- Lock those who meet all requirements only – Only includes children with valid domain scores
Scenario 2: All Children Are Missing Ratings or Attributes
In this case, none of the children can be locked.
What to do:
- Click "Download the checking file" to review the missing info
- Complete the required data, then try the batch lock again
Scenario 3: Complete Ratings, but Invalid for Domain Scores
- All ratings are complete, but none meet DRDP Online’s requirements for generating domain scores.
What to do:
Choose one of these options:
- Lock child now – Proceed without domain scores by confirming to Lock child now
- Lock the child after modifying ratings – Go back and adjust ratings first
-
Locking Confirmation
Once you've made your selections and clicked Lock, a confirmation message will appear. Click Confirm to proceed.
- Next-day email alert: After locking, results are sent to your email.
If any data fails to sync, follow the linked PDF guide to resolve the issue and retry.
