As an administrator, staying informed about your educators' assessment progress is essential for smooth operations and timely completion of evaluations. The Learning Genie platform offers a user-friendly dashboard designed to help you monitor each child's assessment journey, from observation to completion. With just a few clicks, you can track what’s been achieved, identify missing pieces, and ensure all assessments are completed on time.
This guide will walk you through the steps to easily access and navigate the assessment progress dashboard, ensuring that you can efficiently oversee your team’s work and remind them of pending tasks.
Here's how:
1. Log in to the Learning Genie web portal
Go to web.learning-genie.com and log in with your administrator credentials.
2. Access the Data Hub
Once logged in, click on the "Data Hub" tab located on the dashboard, and then select "Assessment Progress" from the dropdown menu.
Dashboard Filters
At the top of the dashboard, you'll find filters that allow you to narrow down and customize the data you want to view. By default, all frameworks, programs, sites, and classes are selected in the filters. These filters are useful for honing in on specific information:
- Framework: Select which specific assessment instrument/framework's progress you want to view. You can only filter one framework at a time.
- Programs: Filter data by programs within your agency. (Note: Programs must be set up beforehand. Learn how to create programs here). You can only filter one program at a time. Sites and classes will automatically be selected based on the selected program.
- Sites and Classes: Focus on specific sites or classrooms to track their progress in detail. You can filter for one or multiple sites at a time.
- Additional Filters: Use child-specific attributes for deeper insights. Filters may include language, IEP status, race, gender, age group, and more.
Notes:
- When you filter for a specific classroom, you’ll see each child’s individual progress in that class.
- If no filters are selected, the dashboard will display all data for every framework and site/class in your agency, grouped by site and sorted by framework.
Assessment Period
Select the assessment period you wish to review. The available options are limited to the current year’s assessments, allowing you to focus on relevant, ongoing evaluations.
At a Glance
This section provides a quick summary of the current numbers within your agency or selected group, including: total number of sites, classrooms, teachers, children, and families.
Observation and Rating Measure
This section gives detailed insights into the progress of observation and rating completion. You'll find the following data represented in three progress charts (pie charts):
- Observation Progress: Shows the percentage of measures that have been observed (tagged in an observation note).
- Rating Progress: Indicates the percentage of measures that have been both observed and rated. (Remember, measures must be observed before they can be rated).
- Locked Progress: Displays the percentage of children's assessments that have been locked.
Underneath the progress charts, you'll find a breakdown of key information for each site and class, including:
- Site/Class Name: The name of the specific site or classroom.
- Total Number of Children: The total number of children enrolled in the site or class.
- Total Notes & Average Notes per Measure: The cumulative number of observation notes and the average number of notes per measure for the selected group.
- Observation Progress (Count): Displays the number of observed measures out of the total number of measures for the class or site.
- Rating Progress (Count): Shows the number of rated measures out of the total number of measures.
- Locked Progress (Count): Provides the number of children whose assessments are locked, compared to the total number of children in the site or class.
This in-depth data allows you to track not just the overall percentage, but the exact progress in terms of counts, giving a clearer picture of what still needs attention.
For a specific classroom, you can drill down further to see:
- Each student's total notes and the average number of notes per measure.
- Individual student observation and rating progress.
- How many days remain until the assessment due date and the actual due date.
- Each child's assessment lock status.
This detailed view ensures you can track and support your educators in completing assessments accurately and on time.
